Library Promotion Process | Date |

Dean notifies the faculty member of their eligibility to apply for promotion; OR candidate notifies Dean that they intend to apply for promotion. Dean advises candidate and provides information about promotion process, including Library Promotion Guidelines and CBA Article 22: Promotions for Library Faculty.

Candidate submits Promotion Application Form to Supervisor and Dean. Candidate or Dean notifies Academic & Student Affairs of the promotion candidacy and requests an Interfolio case. |
By July 1, 2025 |
Dean notifies Library faculty of promotion candidates. Eligible Library faculty vote for members of a Library Promotion Committee; votes are tallied by Library Administration. Dean notifies committee members and sends list of committee members to Academic & Student Affairs. | By August 8, 2025 |
Candidate submits promotion case in Interfolio. | By October 17, 2025 |
Supervisor Review Supervisor’s letter is shared with the candidate in Interfolio. |
October 20 – November 7, 2025 |
Candidate submits optional written response to supervisor's letter. | By November 14, 2025 |
Library Promotion Committee Review Committee’s letters are shared with candidates in Interfolio. |
November 17 – December 12, 2025 |
Candidate submits optional written response to committee's letter. |
By December 19, 2025 |
Dean Review Dean’s letters are shared with candidates in Interfolio. |
January 5 – February 6, 2026 |
Dean meets with Supervisor and Library Promotion Committee if recommendations are different. Dean meets with the candidate (upon written request) to discuss supervisor and committee letters. |
By January 19, 2026 |
Candidate submits optional written response to Dean letter. Dean letter is shared with Supervisor and Committee Chair, who shares the letter with committee members. Provost meets with Dean and Library Promotion Committee if recommendations are different. |
By February 13, 2026 |
Provost Review Provost’s draft letters are shared with candidates in Interfolio. |
February 16 – March 12, 2026 |
Candidate submits optional written response to Provost’s draft letter. Candidate schedules optional meeting with Provost to discuss draft letter. |
By March 23, 2026 |
Provost’s final letters are shared with candidates in Interfolio. | By March 30, 2026 |
Candidate submits optional written response to Provost’s final letter. Provost letter is shared with Dean, Supervisor, and Committee Chair, who shares the letter with committee members. Withdrawal deadline: “A candidate for promotion may withdraw, without prejudice, at any stage in the process before March 15 or before the Provost submits their final assessment and recommendation to the President, whichever is later.” (CBA 22.8) |
By April 3, 2026 |
President Review President’s letters are shared \with candidates in Interfolio. President letters are shared with Provost, Dean, Supervisor, and Committee Chair, who shares the letters with committee members. |
